A well-chosen scent in a hotel lobby, spa or shop makes a space feel welcoming the moment people walk in. But HVAC and cold-air scent machines are fussy about what goes into them. Choose the wrong oil and you risk blocked nozzles, weak scent or a failed safety review. Here's what to check.
1. Use a waterless diffuser oil
HVAC scenting machines, also called cold-air or nebulising diffusers, disperse oil as a fine dry vapour with no water. That means the oil must be made for waterless systems. Oils cut with heavy carriers or water-based mixes can clog the machine.
2. Check whether your machine runs neat oil
Many commercial systems run 100% oil with no dilution. Others need a thinner solution. Always check your machine manufacturer's guidance before ordering, and ask the oil supplier if you're unsure.
3. Read the IFRA certificate (Category 12)
Ask for the IFRA certificate and look at Category 12 on the IFRA 51. If it shows 100%, the oil can be used in your system with no dilution. If it shows less, the oil needs diluting to that level first.
4. Keep the SDS on file
The Safety Data Sheet is what your health and safety team will want before approving an oil for use on site. A good supplier provides it for every oil, along with a correct CLP label.
5. Match the scent to the space
- Hotel lobbies and reception areas: warm woods, amber or soft florals feel welcoming.
- Spas and wellness areas: lavender, eucalyptus and bergamot blends.
- Retail and gyms: fresh citrus or lemongrass for an energetic feel.
- Waiting rooms and offices: light, clean scents that don't overpower.
6. Test before you commit
A scent that smells great on a blotter can behave differently in a large open space. Buy a tester size first, run it in your system, then order in bulk once you're happy.
